Publish New Files via the aDrive Desktop

This article will explain how to publish new files to the Asite Cloud using aDrive Desktop.

Prerequisites

Before publishing a new file, ensure that:

  • aDrive Desktop is installed, and you are logged in.

  • The destination project folder is synchronised with aDrive Desktop.

  • You have permission to publish files in the destination project folder.

NOTE: Depending on the folder configuration, files are either uploaded automatically or require metadata to be published.

Where Should I Save My File?

To publish a new file, save or copy it to a synchronised aDrive Desktop project folder.

The default synchronised folder location is:

C:\Users\<username>\aDrive\<project_name>\

TIP: If the required project folder is not synchronised, enable synchronisation before adding files.

How Do I Publish a New File?

  1. Copy or move the new file into the required synchronised aDrive Desktop project folder.

  2. Wait for aDrive Desktop to detect the new file.

  3. If the destination folder uses Simple Upload, the file is uploaded automatically.

  4. If the destination folder requires metadata, click the Upload button to continue.

NOTE: While the upload is in progress, you can Pause, Resume, or Cancel the process using the controls in the upload progress area. When only one activity is running, these controls display as labelled buttons. When both upload and download are active simultaneously, the controls appear as icons to accommodate the available space.

Publish a File That Requires Metadata

  1. Review the file details.

  2. Complete all mandatory metadata fields.

  3. If required, select additional publishing options.

  4. Review the entered information.

  5. Click Upload button.

How Do I Cancel a File Upload?

You can cancel a file upload at any time during the sync process — whether the upload is active, paused, or resumed.

  1. Locate the Cancel button in the upload progress area at the bottom of the aDrive Desktop window.

    • The Cancel button is disabled while files are still being copied into the synchronised folder. A tooltip displays: "Available when all files are ready in the folder for cloud upload."

    • The button becomes active once all files are ready for cloud upload.

  2. Click Cancel.

  3. Confirm the cancellation when the confirmation message appears.

NOTE: The Cancel button is available regardless of whether the upload is actively running, paused, or has been resumed after a pause.

What Happens When I Cancel an Upload?

When you confirm the cancellation:

  • The upload process stops immediately for all remaining files.

  • All files and folders already uploaded to the cloud during this batch are deleted.

  • The corresponding files and folders are removed from your local aDrive folder to maintain consistency with the Asite Cloud.

  • The cancellation does not affect any other ongoing sync processes (E.g., an active download continues uninterrupted).

NOTE: After cancelling, the upload does not restart automatically. To publish the files again, you must re-add them to the synchronised aDrive project folder and start the process from the beginning.

What Happens If I Do Not Have Admin Permission to Publish a Folder?

If you attempt to publish a folder to a project location where you do not have admin permission, aDrive Desktop displays an error message. This applies whether you are adding a subfolder to a single project folder or across multiple folders and projects.

The error message includes:

  • The folder path identifying which folder could not be uploaded.

  • Two options: Go to Folder and Cancel.

NOTE: The folder and its contents are retained locally. No local data is deleted when this error occurs.

There are two options available on the permission error message:

Go to Folder

  1. Click Go to Folder.

  2. File Explorer opens and navigates to the specific folder location where the subfolder was added.

  3. The folder displays a No Sync icon, indicating it cannot be synced due to insufficient permissions.

  4. Take the appropriate action on the folder (E.g., remove it or contact your Workspace Admin to request admin permission).

Cancel

  1. Click Cancel.

  2. The error message closes.

  3. The folder remains in its current local location with a No Sync icon.

NOTE: The folder is not uploaded or synced to the Asite Cloud until you have the required admin permission. Contact your Workspace Admin to request access.

Result

After the upload is complete:

  • The file is published to the selected Asite project folder.

  • Required metadata is saved with the file.

  • The file is available to authorised project members based on their permissions.

If Publishing Fails

If the file cannot be published, check that:

  • The destination folder is synchronised.

  • You have permission to publish files.

  • All mandatory metadata has been completed.

  • Your internet connection is active.

If the problem persists, try publishing the file again after reconnecting to the network.
